ACADEMIC ACHIEVEMENT AWARDS
Time Frame: March/April — flexible hours Description: Coordinate with school staff to order, assemble, and distribute the academic awards earned by students: The Academic W’s, lamps, & certificates. DIRECTORY Time Frame: School Year — flexible hours Description: This position requires attention to detail and moderate knowledge of Excel. The duties include requesting the student and teacher contact information from the WWS administration in September and January, collecting PAWS member information from the PAWS membership chair, collecting sponsor information from the PAWS sponsorship chair, and formatting the data for upload into the online directory (Directory Spot). Monthly, obtain a new PAWS members list from the PAWS membership chair, and grant new members access to the online directory. FOOTBALL PARKING PASSES Time Frame: June–October (November if playoffs) Description: Parking pass sales will be coordinated with PAWS membership sales. In August, obtain a list of parking passes sold from the membership chair to print and distribute parking passes before the first home football game. Contact football, cheer, dance, and band parents to solicit additional parking pass sales. Arrange volunteers to work in the parking lot for Friday night football games. On home game nights, secure the reserved parking area for pass holders and sell additional spots during the games to non-pass holders. The parking lot must be blocked off and monitored before the Sophomore game gate opening, typically from about 4:30 pm until halftime of the Varsity game. FOOTBALL SEATING Time Frame: July–September Description: The football reserved seating sale is held online in coordination with the Athletic Director, and the PAWS membership chair. This position promotes and sells reserved seats for home football games. Obtain the reserved seating sales list and distribute reserved passes before the first home football game. On home game nights, label and secure the reserved seating area for pass holders. FRESHMAN ORIENTATION Time Frame: July–August —One event, specific date Description: Coordinate with the WWS Administration to plan and serve food items, typically pizza and cookies, at the incoming Freshman Orientation. Order food items from a local vendor using a PAWS concessions vendor. Drinks can be purchased from Costco via the PAWS membership. Organize a committee to serve food items to students at Freshman Orientation Day, held before school starts in August. A budget is available for this event, and donated items may be solicited. HOMECOMING LIAISON Timeline: August–October — One-time event during Homecoming Description: Plan and execute a PAWS alumni social event and fundraiser for Homecoming. LANDSCAPING/BEAUTIFICATION Timeline: 3–4 times per year — flexible hours Description: Coordinate and maintain seasonal plantings in WWS front sign bed, front door entrance, and Red Grange field planter pots. Coordinate with WWS building superintendent and Tiger PAWS the order, and installation of decor items for athletic fields. Coordinate with WWS building superintendent and Tiger PAWS Secretary to order and install bricks on Tradition Trail for WWS Retirees, outgoing Tiger Paws President, and other purchased bricks for the year. A budget is available for this event, and donated items may be solicited. MEDIA RELATIONS (social) Time Frame: All school year — flexible hours Description: Maintain Tiger PAWS Facebook, Instagram & Twitter accounts and post on a weekly/regular basis. Use skills as a frequent social media user and a network of friends to help report on sports/activities of WWS. Monitor the postings to ensure accurate and diverse dissemination of good news about Wheaton Warrenville South. MEMBERSHIP Time Frame: Throughout the year — flexible hours Description: Collect and monitor PAWS Memberships through Constant Contact Registration. Work with the PAWS Vice President of Communications in May to create the Constant Contact Event form and to ensure all membership components are represented on the form. Open the event for the new membership year starting in June. PAWS membership registrations will occur primarily from June to October, but memberships are available throughout the school year. Promote PAWS membership by attending school events and delivering flyers at various events (curriculum nights, eighth-grade parent orientation, etc.). Maintain the master electronic membership list. Work with the PAWS Sports Pass Chair and PAWS Directory Chair to ensure membership requirements for those committees. Pull a report from Constant Contact and deliver the volunteer lists to all committee chairs in September and/or January, depending on the committee’s requirements. Determine the sports pass fee due to CUSD200 in March. MOTHER SON BRUNCH Time Frame: One-time event — mid-April. Description: In coordination with volunteers, obtain venue, order food, decorations, and media needs, including speaker and slideshow. It is a tradition that the attending boys present their moms with a fresh-cut flower. Work with PAWS Vice President of Communications on setting up the ticket sales event through Constant Contact. Review reservations and seating arrangements. A budget is available for this event, and donated items may be solicited. OPERATION SAFE CELEBRATION PAWS Delegate Time Frame: Throughout the year. Description: A delegate on the Operation Safe Celebration will advise PAWS on planning the Operation Save Celebration post-prom activities. Works with the PAWS Vice President and PAWS Media Chair to communicate and market the post-prom activities and solicit required volunteers within the WWS community via PAWS emails. OUTDOOR CONCESSIONS Time Frame: July–October (November if playoffs), March–May. Description: Manage the operation of the Outdoor Concessions Stand during home athletic events in the Fall (Football) & Spring (Track). The Chair will ensure that sold products are purchased using the approved vendors. Work with the PAWS concessions volunteer coordinator to ensure events are staffed. In addition, the chair works closely with PAWS Treasurer to arrange the iPAD and cash box usage for payments and the audit of deposits (cash and credit card) after each event. Concessions will be sold at all home football games and specific home invitational track meets in the spring at the direction of the Athletic Department. OUTDOOR CONCESSIONS VOLUNTEER COORDINATOR Time Frame: July-October (November if playoffs), March–May. Description: Works closely with the Outdoor Concessions Chair to determine staffing needs for the Outdoor Concessions Stands. Ensures that volunteers cover the required shifts for the games. Creates and manages the online sign-ups through Sign-up Genius. Communicates with the PAWS Vice President of Communications to ensure that volunteer information and needs are shared via the PAWS email newsletter blasts. This position is best filled by someone who will also volunteer to work at the concessions stand during the football games. PAWS SCHOLARSHIP AWARDS Time Frame: February–April — flexible hours. Attend April PAWS Meeting Note: Parents of seniors are ineligible to serve on this committee. Description: In coordination with the counseling department at WWS, obtain senior applicant essays for the Tiger PAWS Scholarship. There are 10 scholarships awarded for $800 each. Scholarship Applications are due at the end of February each year to the WWS counseling office. Recruit volunteers to review and evaluate essay submissions. Notify scholarship winners and thank all students for participating. Notify the counseling office of the winners. Coordinate with PAWS Treasurer to cut the checks. Create certificates to and help present at the April PAWS meeting. Winners will be recognized, read a portion of their essays at the April PAWS Meeting. PE UNIFORMS Time Frame: August— before and through the first week of school Description: The PE Uniform Chair coordinates the PE Uniform vendor to distribute pre-ordered uniforms for pick up during PE classes the first week of school. May also sell uniforms during this time. Must work WWS PE Department, Uniform Vendor, Wheaton Sports Center, and committee volunteers to coordinate the receipt of uniforms and the best distribution method. SEASONAL ACTIVITY PROGRAM – CHAIR Time Frame: August, November, & March Description: Work with the PAWS graphic designer and Sponsor/Ad chair to coordinate the production of the Seasonal Activity Programs (Fall, Winter, and Spring). In coordination with the WWS Athletics office, attend sports picture days to obtain all team photos and rosters in that season's program. Proofread programs and ensure proper ad placement of sponsors. Coordinate with the district office print shop to print the program. Coordinate with WWS Athletic Office the distribution of the programs to the WWS students included in that edition. Additional program copies should be delivered to the Athletic Department for distribution with ticket sales for WWS events. Additionally, coordinate with the PAWS Sponsorship Chair to provide programs to each sponsor. SEASONAL ACTIVITY PROGRAM – GRAPHIC DESIGNER Time Frame: August, November, & March. Timing in each of these months is around the time of the athletic photo days as set by the WWS athletic department. Description: Create and edit the activity program's layout and graphic design elements, including the ads for sponsors, team pictures, and school information. Coordinate with the Program Chair and Sponsorship chair for accuracy and release. SPONSORSHIPS Time Frame: Primarily July—September Description: Solicit existing and new sponsors for PAWS in exchange for advertising in our stadium, gym and activity programs. Follow up with sponsors to plan their ad layout and payment. Ads must be placed and paid for before program production in late August. Work with the PAWS graphic designer and seasonal activity chair to ensure the correct ad layout for the program. Process sign orders with vendors. Ensure banners and signs are properly displayed in the stadium and on the football field. Compile and print public announcements for the football season and deliver them to the stadium booth at home football games. Maintain a spreadsheet and follow the PAWS financial procedures for all expenses and income. SENIOR GRADUATION SIGNS Time Frame: April and May Description: Work with sign vendor on sales and distribution of ordered/purchased signs to graduating seniors in April and May. Work with Tiger Paws Vice President of Communications on promoting the sale of signs through PAWS Newsletter email blasts. SPORTS PASSES Time Frame: Primarily Fall — flexible Description: Design and order Sports Pass cards for the upcoming year. Work with the WWS Athletics office to ensure the cards have correct information. Fill out and distribute the passes by mail to the families who purchased them. Names and addresses are obtained from Membership. Most passes are sold ahead of the fall seasons, however there is usually another small batch of folks who order passes for winter sports. Attend any relevant meeting to sell passes in person. STAFF APPRECIATION Time Frame: Mid-April Description: Coordinate faculty, staff, and admin (approximately 200 people) staff appreciation event. In coordination with volunteers, determine theme, décor, and menu. Set up, serve, and clean up events. A budget is available for this event, and donated items may be solicited. TESTING DAY SNACKS Time Frame: March–mid-April; Mainly 1–2 days in mid-April, requires some advanced planning for requesting donations and purchasing. Description: Work in coordination with WWS Administration to provide snacks for each student participating in standardized testing. This chair will coordinate with committee members to purchase products and solicit donated items to incorporate into snack bags. TIGER MERCHANDISE Time Frame: Throughout the year Description: Work within a set budget to purchase products to sell Tiger gear to Tiger Nation. Price and tag products, coordinate sales of products during select WWS lunch hours, home football games, and various school events, including curriculum night, Freshman Parent Orientation, and Band/Orchestra concerts. Maintain an electronic file of inventory. Coordinate volunteers to work at Tiger Merchandise sales. Arrange for specialty items to be sold at specific times through online sales. Promote sales through signage, email blasts, Facebook, website, and tweets. Follow the PAWS financial procedures for all income and expenses. Follow up with the treasurer regularly to assure accurate record keeping. WEBSITE Time Frame: Throughout the year - flexible Description: Maintain the Tiger PAWS website, including image and text updates for Tiger Wear, PAWS General Membership Meetings, special event postings, and PAWS Sponsors. The webmaster shall handle the annual domain renewal and work with Tiger PAWS Officers and Committee Chairs to keep the website current. WWPTA COUNCIL DELEGATE Time Frame: Throughout the year. Description: Attend PTA Council Meetings once a month; Currently held on the 2nd Wednesday of each month from 9:30 am to 11:30 am at the District 200 office building. Give a PAWS/WWS report at the Council Meetings. In addition, attend the PAWS membership meetings to report on WWPTA Council happenings. |
